Finance & Reconciliation

Prepaid wallet, profit account, customer receipts and consumption, procurement, grant ledger, balance alerts and withdrawals.

The Finance tab is your ledger. Everything involving money lives here.

Two accounts

Distinguish these first — every figure below depends on it:

The two accounts are separate. Money in the profit account does not let you grant credit to customers — granting looks only at the prepaid wallet.

If the wallet is running dry while the profit account has a balance, you need to withdraw or arrange with your account manager to convert it into procurement credit. It cannot be spent on customers directly.

Statement overview

Review overall performance by period (current month / previous month / custom):

Switch between detail view and report view, and export CSV for further analysis.

Customer receipts

Records money customers paid you during the period, covering both online payments and offline collections you logged manually.

Customer consumption

Breaks consumption down by customer and by model, which reveals:

  • which customers drive the most spend;
  • which models consume the most;
  • whether your actual margin matches expectations.

Consumption is further split by source: customer retail consumption, self-use (your own account's calls) and internal (sub-admin accounts' calls).

Self-use and internal consumption are equally real costs deducted from your wallet. Keep that in mind when testing.

Procurement & payment

Records each prepaid procurement you made with the platform. If online credit purchase is enabled for your site, you can also top up the wallet here.

Grant & trial credit ledger

Tracks the limited-time grants you issued separately:

Grants can be revoked proactively. Revoking from the ledger reclaims the remaining balance from the customer's wallet.

Use it for grants sent to the wrong recipient, campaigns that end early, or policy violations. Revocation is logged and the customer's balance drops immediately, so notify them beforehand to avoid disputes.

Balance adjustment records

Every adjustment you made to customer balances (add / subtract / clear to zero), with operator, time, amount, payment status and remark.

This is your primary evidence in a billing dispute — which is exactly why every adjustment needs a remark.

Balance alerts

Strongly recommended; this is the single most effective safeguard against operational incidents.

Set one or more alert recipient addresses to receive the notifications.

Skipping alerts is the classic reseller failure mode: the wallet quietly empties → customer redemptions and adjustments fail → complaints arrive → only then do you find out.

Set the threshold at roughly a week of normal granting volume, leaving time to restock.

Withdrawals

Once the profit account accumulates enough:

  1. Submit a withdrawal request with the amount and payment details;
  2. The platform reviews it;
  3. On approval, payment is made and the status becomes paid.

There is a minimum withdrawal amount, shown on the page. Requested amounts are frozen and cannot be submitted twice.

Operation logs

Finance-related actions, for tracing who did what and when.

A monthly rhythm

  1. Start of month: review last month's statement and export the CSV for your records;
  2. Mid-month: check whether the wallet balance will last, and restock early;
  3. Continuously: act on balance alert emails;
  4. Before large promotions: confirm the wallet balance and leave a buffer.
